Create a contract

Put the agreement in writing before the work starts. This guide follows Ridgeway Towing & Recovery turning their accepted proposal into a fleet recovery contract with Harbour Logistics.

Step 1

Meet the contract builder

Like proposals, a contract is written directly on the page. The list on the left jumps to each section, and Ready to send tracks what's still missing.

  1. 1Open Contracts and select Create, then Contract.
  2. 2Select a section in Build your contract to jump to it on the page.
  3. 3Work through Ready to send: a title, the client's name and email, and a priced service or milestone.

Your own signature is already in place, so Ready to send starts at 1 of 5.

The contract builder: selecting each section in the left list jumps to it on the contract, and Ready to send fills up.

Step 2

Customize the design

Design works just like it does for invoices and proposals: choose a template, a color pair, corners and a font.

  1. 1Select Design at the top of the list.
  2. 2Choose a template, then a color pair. Primary, Secondary and Accent update to match.
  3. 3Pick Sharp, Soft or Rounded corners and choose a font.
Design: picking a color pair and rounded corners; the contract restyles live.

Step 3

Add a title, description and dates

The cover names the agreement and sets when it starts and ends. Each contract gets its own number, such as CONT-001.

  1. 1Select Cover.
  2. 2Click the title and type a name for the agreement, then add a short description.
  3. 3Select the effective date and the expiration date.
Cover: typing the contract title and description, then setting the effective and expiration dates.

Step 4

Add the parties

Parties shows who the agreement is between: you as the provider, and your client.

  1. 1Select Parties. Your details as the provider are filled in for you.
  2. 2Select Search saved clients and choose the client.
  3. 3For a new client, type their full name, email, phone and address.

The client's name and email are both checks in Ready to send.

Parties: searching saved clients and choosing Harbour Logistics; the client's name, email, phone and address fill in.

Step 5

List the services

Services is the scope of work: what you'll do, at what rate and how many times.

  1. 1Select Services.
  2. 2Select Add service.
  3. 3Type a description, then the rate and quantity. The amount and total calculate for you.
Services: adding two monthly services with a rate and quantity; the total updates.

Step 6

Set a payment schedule

Split the total into milestones so your client knows exactly what's due and when.

  1. 1Select Payment Schedule.
  2. 2Select Add milestone.
  3. 3Name the milestone, then set its due date and amount. Repeat for each payment.

A priced milestone also completes Ready to send, even without services.

Payment Schedule: adding four quarterly payments with due dates and amounts.

Step 7

Write the terms

Spell out the conditions of the agreement and how you'll be paid.

  1. 1Select Terms.
  2. 2Type your terms and conditions. Use the toolbar for headings, bold and lists.
  3. 3Under Payment terms, enter the method, when payment is due, and any instructions.
Terms: typing the terms and conditions, then the payment method and due terms.

Step 8

Check the signatures

Signatures shows both sides of the agreement. Yours is already signed as the provider.

  1. 1Select Signatures.
  2. 2Check your signature and business name under Provider.
  3. 3The client's line shows Awaiting signature until they sign.
Signatures: your signature is in place as the provider; the client's line awaits their signature.

Step 9

Reorder or remove sections

Move sections into the order that suits the agreement, and remove the ones you don't need.

  1. 1Click a section on the page to select it.
  2. 2Use the up and down arrows below it to move it.
  3. 3Select × to remove a section you don't need.

The list on the left always follows the order on the page.

Moving the Payment Schedule below Terms with the down arrow; the sidebar list follows.

Step 10

Download and send

When the contract is ready, download a PDF for your records or send it to your client to sign.

  1. 1Select PDF to download a copy.
  2. 2Select Send to email the contract to your client.
  3. 3The contract is marked Sent and waits for your client's signature.
The action bar: download the PDF, then send the contract; it's marked Sent and awaits the client's signature.
